Getting started with Coverlook, answers to common questions, and what this tool can & cannot do.
01 / GETTING STARTED
Start using Coverlook in three steps.
Click Sign in to save your team on the landing page or Open Coverlook in the header. You will be redirected to the shared authentication service (auth.agen2ic.ai) where you sign in with your email. No password to create — the auth service sends you a magic link.
Add your people and their availability
Once signed in, type a person’s name and click Add person. Then for each person, pick a day and enter the start/end times they said they are available. Repeat for every day they work. Coverlook saves it all to your roster.
Check who can cover a shift
When a shift opens up, select the day and enter the start/end time of the shift. Coverlook shows you everyone whose recorded availability fully contains that time window — no guessing, no double-checking with spreadsheets.
02 / FREQUENTLY ASKED QUESTIONS
Answers to the most common questions.
Can I share my roster with another coordinator?
No. Coverlook is built for exactly one person. Your data is tied to your account and there is no sharing, no team access, and no way to delegate. If you need multiple people to see the same roster, a shared spreadsheet or a scheduling platform would be a better fit.
How do I edit or remove someone’s availability?
In the app, each person’s entry shows their recorded slots. You can delete a time slot and add a corrected one. You can also remove a person entirely. There is no versioning or history — what you see is the current truth.
What does “strict coverage” mean?
Coverlook only marks a person as available if their recorded availability window fully contains the shift you are checking. For example, if Alice is recorded 09:00–17:00 and you check 10:00–14:00, she qualifies. If Carol is recorded 08:00–12:00 and you check 10:00–14:00, she does not — she leaves before the shift ends. This is intentional: partial availability is not coverage.
How do I export my roster?
Click the Export CSV button in the app. Your browser downloads a CSV file containing all the names and availability slots you have recorded. Use this to import into a spreadsheet, a scheduling tool, or to keep a backup.
What happens to my data if I stop using Coverlook?
Your data is retained until you delete it or until 60 days after your last sign-in, after which it may be purged. You can export your data as CSV at any time. Session tokens expire after 7 days of inactivity; you will need to sign in again after that, but your data persists.
Does Coverlook work on mobile?
Yes. The interface is responsive and works in any modern mobile browser. There is no native app, but you can use Coverlook on your phone or tablet just as you would on a desktop.
03 / KNOWN LIMITATIONS
What Coverlook does not do — intentionally.
Coverlook replaces a single spreadsheet for one coordinator. It is not a scheduling suite. The following limitations are by design, not oversights:
- Single-user only. One account, one person. No shared logins, no delegation, no multi-user access. This will not change.
- No email or notifications. Coverlook does not send email and never will. You cannot notify people about shifts from within the app. The fleet has no email sender.
- No scheduling. Coverlook does not assign shifts, resolve conflicts, notify anyone, or build a schedule. It only answers who is free for a given time window.
- No integrations. No calendar sync, no Slack or Teams, no API. CSV export is the only way to get data out of Coverlook.
- No mobile app. The web app works in a mobile browser, but there is no native iOS or Android app.
- No AI or skill matching. Coverage is a strict time-range check. There is no skill matching, availability prediction, or pattern learning.
- No data durability guarantees. Coverlook is provided as-is with no claim of uptime or data durability. Keep CSV exports of critical rosters.
- No real-time updates. Data is saved when you submit it. There is no push, no WebSocket, no real-time collaboration.
